The Multicultural Family Resource Society (hereinafter M.F.R.S.) is a non-profit charitable organization formed in 2005 that supports over 2000 immigrant and refugee families in Edmonton. We provide programming to immigrant and refugee youth and families throughout the city using a holistic family cultural brokering approach. Such programs include parent and children group in various ethnocultural communities, English for Community Integration for newcomer mothers with young children, and Youth and Girls Programs for immigrant and refugee youth. We are a participant driven organization wherein our programs are identified and co-created with the participants we serve, as such our policies and procedure reflect the heart of our Society: the needs and strengths of our families.
The Board of Directors of M.F.R.S. are seeking an Executive Director who will build on the society’s mission, vision, and values and successfully lead community based initiatives for the improvement of the quality of life of new Edmontonians. As a key liaison with internal and external stakeholders, this position demands cross cultural sensitivity, understanding of immigrant and refugee realities , the ability to build relationships, and outstanding organization and management skills in order to best serve M.F.R.S.’s mission and mandate. These are obviously qualities that are difficult to measure. The interview process will be crucial in this regard and we hope that a candidate will be forthcoming on their personal thoughts on such topics and, while not necessary, perhaps have examples of previous work and values in this realm.
Primary Duties & Responsibilities:
- Foster effective team work and work with the Board of Directors on M.F.R.S.’s vision, mission, and strategic plan.
- Identify, assess, and inform the Board of Directors of internal and external issues that affect the organization.
- Conduct official correspondence on behalf of the Board as appropriate and jointly with the Board when appropriate.
- Participate on all Board committees in person or liaise with committee chairs.
- Coach and mentor staff and contractors as appropriate to improve performance and personal goals.
- Provide leadership that is participatory and relational to reflect M.F.R.S values and practice.
Operational planning and management
- Develop an operational plan with the available resources and funds, according to the approved budget, which incorporates goals and objectives that work towards the strategic direction of the organization.
- Review existing policies on an annual basis and recommend changes to the Board as appropriate.
- Provide support to the Board by preparing a meeting agenda and supporting materials, and attending our monthly Board meeting
- Manage contractors for specific project contracts.
- Ensure that personnel, client, donor and volunteer files are securely stored and privacy/confidentiality is maintained.
- Ensure quarterly and annual reports are complete
Program planning and management
- Ensure that the programs and services offered by the organization contribute to the organization’s mission and reflect the priorities identified by our participants, staff, volunteers and community leaders through our participant driven practice.
- Oversee the planning, implementation and evaluation of the organization’s programs and services
- Monitor the day-to-day delivery of the programs and services of the organization to maintain or improve quality.
- Support the annual focus group with participants and facilitators.
Human resources planning and management
- Ensure that all staff and new Board members receive an orientation to the organization and that appropriate training is provided.
- Develop contracts with community partners and contractors to ensure delivery of programs and Society’s mandate.
- Implement a performance management process for all staff and contractors which includes monitoring the performance of staff on an on-going basis and conducting an annual performance review.
- Recruit new Board members.
- Meet with staff and contractors to troubleshoot programming and human resources changes.
- Facilitates staff orientation/education
- Conducts yearly staff performance evaluation
Financial planning and management
- Work with staff and the Board (Finance Committee) to prepare a comprehensive budget.
- Signing authority for organization.
- Seek and apply for additional funding to increase the capacity of M.F.R.S.
- Oversee and participate in the implementation of M.F.R.S.’ integrated fund development plan by Fund Development Officer
- Approve expenditures and administer the funds according to the approved budget within the authority delegated by the Board.
- Provide the Board with comprehensive, regular reports on the revenues and expenditure of the organization.
- Ensure that the organization complies with all legislation covering taxation and withholding payments.
- Ensures funded programs are clear on receipt submission and required reporting.
- Work with Treasurer to ensure official tax receipts are issued in a timely manner.
- Work with Auditor to complete annual audit.
- Review all interim and final reports before submitting to funders.
- Communicate with stakeholders to keep them informed of the work of the organization and to identify changes in the community served by the organization
- Establish good working relationships and collaborative arrangements with community groups, funders, Multicultural Health Brokers Co-Operative (MCHB), community partners, and other organizations.
- Attend meetings sponsored by funders.
- Advocate for program needs and realities of immigrant and refugee families in Edmonton.
- Represent M.F.R.S. as a professional consultant to issues related to newcomer realities and opportunities.
- Field requests or questions from community about M.F.R.S. and programming.
- Act as a spokesperson for the organization as well as represent the organization at community activities to enhance the organization’s profile.
- Identify and evaluate the risks to the organization’s people (clients, staff, management, volunteers), property, finances, goodwill, and image and implement measures to control risks.
- Ensure that the Board of Directors and the organization carries appropriate and adequate insurance coverage.
- Ensure that the Board and staff understand the terms, conditions and limitations of the insurance coverage.
- Post-secondary education in a related discipline supplemented by 5 years progressive experience in a supervisory role working in a not for profit sector.
- Knowledge in theories and up to date research and policies related to immigration, social inclusion/integration, and cultural brokering practice.
- Training in anti-oppression practice, anti-racism, decolonization, or equivalent.
- Strong networking skills which can be utilized to establish, foster, navigate, and make use of a large network to leverage the accompanying social capital into actual resources.
- Strong understanding of the Canadian Charity Act and compliance with Canadian Revenue Agency regulations.
- Demonstrated experience and proven success with fundraising and grant applications.
- Strong conflict resolution and negotiation skills with experience in solving complex and sensitive issues.
- Demonstrated experience with organizational leadership, strategic planning, analytics and process management to drive excellence in program outcomes.
- Excellent communication skills and ability to communicate with individuals with language barriers, timidity, cultural barriers, and other such challenges.
- Strong public speaking experience and skills.
- Demonstrated experience working with new immigrants, refugees, and/or specific cultural groups and the sensitivity and empathy that result from such experiences.
- Due to the nature of the groups that M.F.R.S. works with and the various events that we need to attend, a flexible schedule, allowing for attendance at such functions and media relations is a must. Flexibility to work day, evenings, weekends and statutory holidays.
- Police security check and child welfare checks required.
- Fluency in more than one language is an asset.
Terms of Position
This position is currently 0.8 FTE or approximately 30 hours per week starting July 1st, 2018, with the possibility for Full Time should funding become available. Remuneration will commensurate with knowledge and experience. A candidate must be flexible and able to commit to the hours that are needed to complete their duties and responsibilities and ensure that the operation of the organization meets the expectations of its clients, Board and Funders.
As a part time position, an independent and flexible work arrangement may be established to fit an applicant’s own schedule. Possibilities include the ability to work from home, self-determined hours of work within the requirements of the role. Details to be negotiated with M.F.R.S. in order to ensure a mutual satisfaction.
